This position will perform very high level office and administrative support to the Florida Center for Nursing (FCN) that is housed at the College. This position will provide technically skilled and confidential support to maximize the effectiveness of the Executive Director of FCN. This position will oversee the day-to-day office operations and administrative support activities, serves as FCN's resource person in the absence of the Executive Director. FCN is a Statewide Data clearing house to track nursing shortages across the state and find ways to improve.
Oversees the day-to-day office operations and administrative support activities to support the Center. This includes working with others to ensure an operationally effective office, administrative support to include creating an administrative work schedule to provide coverage as needed, manages calendars for designated executive administrators, schedules meetings and conferences, arranges and coordinates administrative and logistical support for Executive Director's travel to meetings and conferences/workshops and work with consultants and guests; and assist in arranging their travel.
Work closely with the Executive Director and personnel to prepare correspondence, reports and presentations. Prioritizes incoming correspondence, compiles information necessary to develop responses, and responds to routine requests. This may be in the form of answering emails, phone calls, and in person inquires. Ensures all information is disseminated in time, relevant, professional, and credible, and that information is acted on appropriately. Prepares presentation materials for use by others, editing content, etc.
Serves as a liaison to both internal and external constituencies (both within USF and the community), manage the flow of communication across the state of Florida. Manages internal and external requests for reports. Manages and monitors status of the contracts and tracks expenditures. Coordinates reports as requested. Manages the file and information management system. Compiles and maintains information that may require additional researching; and gathers, compiles, and updates data and records.
Work with the College's Human Resources office to fulfill human resource and payroll administrative actions not limited to recruitment process (job posting, interviews, etc...) and other requirements as appropriate. This position will be responsible for training, supervising and evaluating support staff.
Advises on and implements administrative office policies and procedures; develops and implements office forms. Orders supplies and maintains accurate inventory of supplies and equipment. Work with the college's office budget to ensure the program's budget is reconciled and allowable expenditures are tracked, and reporting are submitted in a timely manner. Works closely with Business Administration to coordinate purchases, leases, and agreements. Maintains vendor relationships and facility work orders.

This position requires a high school diploma or equivalent, with at least five years of experience in an office or administrative support position or a Bachelor's degree and 3 years of related experience. Additional education may not be substituted for this experience requirement.
